THESE INSTRUCTIONS MAY BE PRINTED OUT TO HELP YOU ORGANIZE YOUR DOCUMENTS FOR DROP OFF. THESE INSTRUCTIONS ALSO INCLUDE THE PROCESS WE WILL USE FOR RETURN PREPARATION. IT IS IMPORTANT THAT YOU INCLUDE THE FOUR DOCUMENTS (COMPLETED) LISTED IN “DROP OFF INFORMATION CHECKLIST” IN ADDITION TO YOUR OTHER TAX FORMS. ONCE YOU HAVE EVERYTHING COLLECTED AND COMPLETED, INCLUDE YOUR ITEMS IN A LARGE ENVELOPE THAT YOU CAN DROP OFF AT THE SECURE LOCATION BELOW.

WE WILL ALSO HAVE ENVELOPES THAT INCLUDE THOSE FOUR DOCUMENTS AVAILABLE AT THE DROP OFF LOCATION.

TAX PREPARATION PROCEDURE

Preparation of tax returns by this VITA service requires 4 steps which are detailed below:

  1. Drop off information at site,
  2. Interview via telephone call or online video conferencing (i.e., Zoom),
  3. Preparation of tax return without the taxpayer present, and
  4. In-person appointment in which the identity of the taxpayer is authenticated, the tax return is reviewed with the taxpayer, the return or e-file authorization is signed, and documents are returned to the taxpayer.

STEP (1): DROP OFF INFORMATION

Please refer to the checklist at the end of this document. Include that checklist with your other documents that you will be dropping off.

STEP (2): INTERVIEW

Please note that the inability to contact you in a timely manner will slow down the preparation of your tax return. Ensure that the telephone number that you entered on Line 1 and/or 2 of Form 13614-C (yellow sheet) is where you can be personally contacted to conduct an interview prior to the preparation of your return.

STEP (3): TAX RETURN PREPARATION

The volunteer preparing your return may call you if additional information is needed during this process.

STEP (4): AUTHENTICATION OF TAXPAYER IDENTITY, SIGNING OF FORMS AND REVIEW OF TAX RETURN

After your tax return has been prepared, you will be contacted to schedule an in-person appointment to authenticate your identity, sign forms and review your tax return. Please note the following regarding your appointment:

  • If your filing status is married filing jointly, both spouses must attend the appointment.
  • You must wear a mask and follow social distancing guidelines.
  • The identities for all persons indicated on the return must be authenticated. Please bring photo IDs for yourself and spouse (if applicable), as well as social security cards (or copies) for yourself, your spouse, your children, or any other dependents included on your return. If you and/or your spouse are receiving Social Security benefits, the social security number on the Form 1099-SSA can be used. Your return will not be reviewed or released to you without this authentication.
  • The tax return will be reviewed with the taxpayers; any necessary adjustments to the tax return may be made at this time.
  • The taxpayer(s) will sign the tax return for mailing or sign the e-file signature authorization (Form 8879).

DROP OFF INFORMATION CHECKLIST (WHAT TO INCLUDE IN YOUR ENVELOPE)

Below is a list of items to include in your envelope. Please place a check mark in the box if you have included the item listed.

  • This checklist.
  • Signed page 3 of Form 14446, “Virtual VITA/TCE Taxpayer Consent” agreeing to this site’s virtual tax preparation process. Please keep pages 1 and 2 of this form.
  • Completed VITA ID Form (green sheet).
  • Completed Form 13614-C, “Intake/Interview & Quality Review Sheet” (yellow sheet).

If you have trouble completing this form, a VITA volunteer will assist you during the interview.

If you answered “Yes” to question 11 in Part 1 and have been issued an Identity Protection PIN, you will need to have that number at your in-person appointment.

Also, note that at the end of Form 13614-C is Form 15080 (Global Consent). Sign that ONLY IF you want your carryforward information to be available to any VITA site in the United States next year.

  • Tax documents necessary to support items to which you answered “Yes” in Parts III, IV, and V of Form 13614-C (yellow sheet).
  • 2019 federal and state tax returns (not required, but helpful).

The following items from Part 4 of Form 13614-C that need additional information:

#4: If your property taxes are paid from your escrow account, the total paid may be included on Form 1098 along with your mortgage interest. We will, however, also need the

  • Property tax number: __________________

#5: The statement from your child care provider will include the amount paid for each child as well as the provider’s name, address, and social security number/employer identification number. If it does not, provide that information here:

In addition, if you are a noncustodial parent taking the $500 dependency credit, you will need Form 8332 signed by the custodial parent.
